Role Overview
- The Secretary to the President will provide high-level administrative, organizational, and strategic support to the President. This role requires exceptional discretion, professionalism, time management skills, and the ability to coordinate across multiple stakeholders. The Secretary acts as a key liaison between the President and internal/external stakeholders, ensuring seamless communication and operational efficiency.
Key Responsibilities
1. Executive Support
- Manage the President’s calendar, appointments, and travel arrangements.
- Coordinate meetings, prepare agendas, and record minutes.
- Draft and review correspondence, reports, presentations, and official communications.
- Screen calls, emails, and requests, prioritizing matters requiring immediate attention.
2. Communication & Liaison
- Serve as the primary point of contact between the President and board members, partners, donors, government officials, and staff.
- Facilitate smooth communication across departments and external stakeholders.
- Prepare briefing notes and background documents for meetings and public engagements.
3. Administrative & Organizational Management
- Maintain confidential records and documentation.
- Track key deadlines, follow-ups, and action items from meetings.
- Coordinate logistics for events, conferences, and public engagements involving the President.
- Ensure compliance with organizational protocols and governance requirements
4. Strategic & Project Support
- Assist in monitoring key initiatives and special projects led by the President.
- Conduct basic research and compile data to support decision-making.
- Support preparation of board meeting materials and annual reports.

Education & Qualifications
Qualifications & Experience
- Bachelor’s degree in Business Administration, Management, Public Administration, or related field.
- 5–8 years of experience in executive assistance or secretarial roles, preferably in nonprofit or corporate environments.
- Strong knowledge of office management systems and procedures.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and digital collaboration tools
